Scope
This policy covers FLiCK ON, our iPhone, iPad, and Apple Watch coaching app, and its related services. The app is for adult coaches. Coaches choose what team and player information to enter and whether to use account, sync, sharing, notification, or Kit Builder features. The Groundwork Studios website is a static page and does not use advertising or analytics cookies.
Information we handle
Coaching records
Coaches can enter team and season names, player names or nicknames, jersey numbers, positions, game details, attendance, lineups, scores, goal events, field layouts, whiteboard content, and settings. Local-only teams are stored on the device. Optional exports and automatic JSON backups can make additional copies; app data and backup files may also be included in the device's iCloud or computer backup.
Account and shared teams
If a coach signs in with Apple, we receive an account identifier and the name and email address or Apple private-relay address Apple provides. We use them for account access, invitations, and identifying coaches on shared teams. Coaches on a shared team can see each other's name and email address (or Apple private-relay address). When a coach enables live sharing, Supabase processes the selected team records, invitations, membership roles, coach presence, and shared scores so authorized coaches can collaborate. Shared goal and score events include a random identifier the app creates on each device, so scoring stays consistent when several coaches record the same game; it is not an advertising identifier. Optional private iCloud team sync uses the coach's Apple account; Groundwork Studios does not have access to that private iCloud database.
Notifications
If enabled, we process a device push token, account association, preferences, and notification events to route team alerts through Apple Push Notification service. Turning notifications off or signing out triggers removal of the token from our server; an offline device may retry that removal when it reconnects.
Kit Builder photo pilot
In a limited pilot, a signed-in coach may select a jersey-only photo and explicitly submit it to generate kit artwork. The app screens the selected photo on device for people and asks the coach to confirm that no person appears. Our server removes image metadata before sending the photo to OpenAI for processing. Groundwork Studios does not store the source photo. We store a generated image in a private request record linked to the coach's account for result recovery, along with a request identifier, a digest (a fingerprint of the cleaned photo and chosen style, not the photo itself), timestamps, processing status, and usage and cost counts. OpenAI also receives one of our jersey templates and our editing instructions; we do not send OpenAI the coach's name, email, or account identifier. Accepted artwork is also saved on the coach's device. OpenAI may process and retain submitted content under its applicable API data controls.
Purchases and service operations
Apple handles payments for any in-app purchases offered, and Groundwork Studios does not receive payment-card details. The current beta does not activate the planned recurring subscriptions or RevenueCat subscription service. Our service providers may process IP addresses and request logs needed to deliver, secure, and troubleshoot the service. We do not use an in-app advertising, cross-app tracking, session-recording, or analytics service.
Your choices
Coaches can use local features without a QuarterFlow account. They can choose whether to sign in, sync with iCloud, share a team, enable notifications, export data, or submit a Kit Builder photo. Coaches can edit or delete local team and player records in the app. A parent, guardian, or player seeking access to or correction of a youth player record should first contact the team's coach; they may also email us about records held on our servers.
Depending on where you live, you may have rights to access, correct, export, or delete information, or to object to or limit certain processing. Email the privacy contact below for a request. We will verify the requester and respond as required by applicable law. If you live in the European Economic Area or United Kingdom, you may also complain to your local data protection authority.
Retention and deletion
Local records remain until the coach deletes them or removes app data. Optional automatic backups are kept up to the count set in the app and older files are pruned; a backup or exported file can outlive a record deleted from the app. Apple device backups may also retain a copy. Shared records remain while a team or account is active and may remain in service backups and logs for operational periods after deletion. Removing a coach stops future access; it cannot recall copies already exported or downloaded. Retention of provider logs and backups depends on the service and its operational settings. Kit Builder request records, including generated images, remain until the coach's QuarterFlow account is deleted.
Signing out, cancelling a purchase, or deleting local team data does not by itself delete a QuarterFlow account. Deleting a synced local team may leave its remote records in place, and sync may restore them. In the current beta, the in-app account-deletion workflow is not yet active. Email privacy@thegroundworkstudios.com to request deletion of account information held by Groundwork Studios. We will verify the request and explain how it affects shared teams. We cannot erase data stored only in a coach's private iCloud account, on another person's device, or in exported files. We will update this section when the in-app deletion workflow and public subscriptions launch.
Young players
FLiCK ON is not directed to children, and children do not create accounts in the app. Coaches should enter only player details needed for coaching and should have authority to manage and share their teams' records. The app does not request player birthdates, contact information, or medical details; coaches should not enter those details into free-text fields or upload photos showing children to Kit Builder.
Security and location
We use authentication, team access controls, database row-level security for shared records, and encrypted network connections. No system can guarantee absolute security. Coaches should invite only people they intend to share with and protect exported files. Our Supabase project for account and shared-team services is in Northern California, United States. Other providers may process information in other locations. If you are outside the United States, using account, sharing, or Kit Builder services can involve a transfer of your information to the United States.
